How we work
Working within your existing systems.
You do not need to change platforms or move your data. Our team works directly in the practice software your office already uses, signing in with access that you set up and can manage.
Access you control
Your office creates our login and can disable it at any time. Our specialists work only from secured office computers on a protected network — never from personal devices.
Your information stays in your system
We work entirely within your practice software. Patient information is never copied or moved to outside systems. If our work together ever ends, all of your records remain exactly where they have always been.

Whatever software your practice runs, the day-to-day work appears in the same place your team already looks:
- Insurance verification — we confirm each patient’s coverage, benefits, and remaining maximums and enter the details into their record two days before the appointment.
- Claims and billing — claims are prepared, documented, and submitted from your system so they are accurate the first time.
- Payment posting — insurance and patient payments are recorded and matched against what your practice produced, so the numbers reconcile.
- Accounts receivable follow-up — outstanding claims are worked every business day, and every call and update is noted where your team can see it.
- Front desk support — appointment confirmations, recall reminders, and treatment cost estimates are kept up to date in your schedule.
The result is straightforward: your reports stay accurate and your team works from a single, trusted record, because nothing ever leaves the software you rely on.
Platform deep-dives
How we work inside each major platform.
Each PMS has its own claim submission workflow, verification screens, payment posting interface, and AR toolset. Our specialists train on each platform individually — not as a generic "billing" skill.
Open Dental
We work directly in Open Dental’s claim management, payment posting, and aging modules. Verification data is entered into the insurance plan fields with benefit notes appended to the appointment. AR follow-up uses the Claims Outstanding report filtered by payer and date range, with all call logs noted in the claim history.
Dentrix & Dentrix Ascend
In Dentrix and its cloud counterpart Dentrix Ascend, we use the Office Manager and Ledger modules for billing, the Insurance Plan screen for verification entry, and the Aging Report for daily AR work. For Ascend, we work natively in the browser-based interface — no VPN or local install required from our side.
Eaglesoft
Eaglesoft’s Patient Alerts and Insurance Claims Manager are where our billing team lives each morning. We enter verification into the patient’s Coverage Detail, submit claims through the software’s integrated clearinghouse connection, and work the Accounts Receivable aging list on a daily rotation rather than once a week.
Curve Dental
Curve is fully cloud-based, which makes remote access straightforward. We handle claims through Curve’s Insurance Management screen, post ERAs as they arrive, and track outstanding claims using the Claim Tracker. Because Curve stores everything in the cloud, there is no distinction between our access and that of your in-office team.
Carestream Dental (Orthotrac / PracticeWorks)
Legacy Carestream platforms require more coordination around access setup, but our team has run billing inside PracticeWorks and Orthotrac. We handle the additional VPN or remote-desktop step on our side — your team does not need to change anything.
Other systems
We have also worked in Dolphin, Fuse, tab32, Maxident, and several regional hospital-owned systems. If your software is not listed here, tell us on the call. We will either confirm prior experience or be transparent that we would need a short orientation period — typically one week of shadowing before we take the billing independently.
Security & access
HIPAA-compliant access you set up and control.
Every PMS we work in allows you to create a named user account for our team with the specific permission level the work requires. You decide what our specialists can see and do — and you can revoke access instantly from inside your own software.
Named accounts, not shared credentials
We request a named login for each specialist assigned to your practice — not a shared "billing" username. Named accounts create a clear audit trail of who performed each action, which is required for HIPAA access logs and simplifies offboarding if roles change.
Minimum necessary access
Billing and verification work requires access to insurance, claims, payment, and scheduling modules — not clinical notes, treatment plans, or administrative settings. We request only the permissions the work requires. If your software supports role-based access control, we guide you through setting it up before our first day.
Business Associate Agreement (BAA)
As a HIPAA-covered business associate, ZenHub Dental signs a BAA with every practice before accessing any protected health information (PHI). The signed BAA is included with your service agreement and kept on file for the duration of the relationship.

Software questions we hear every week.
- Do we need to buy any additional software or licenses?
- No. We work inside the license your practice already owns. The only cost on your side is creating a user login, which is included in your existing subscription for every major PMS.
- What happens to our data if we stop working together?
- Nothing changes. All patient records, claims, and payment history live inside your software, not ours. When our engagement ends, we simply lose access to your system — the data stays exactly where it has always been.
- Can you work with two different PMS platforms across our locations?
- Yes. Multi-location groups and DSOs often run different software at different sites. We assign specialists familiar with each platform and coordinate internally — you do not need to standardize on one system to work with us.
- We are switching PMS later this year. What happens during a migration?
- We have supported several practices through PMS migrations. During the transition period, we can work in both systems simultaneously — running billing in the legacy system while helping set up the new one — so no claims are delayed during the switch.
- How long does it take to get set up?
- Access setup typically takes less than 30 minutes once you are ready. We send a short checklist with exactly what we need. Most practices are fully live within one to two business days of signing their service agreement.
